  • Establishing, exercising or defending legal claims where necessary and lawful.

Where consent is required by applicable law, we will obtain it through an appropriate process. This policy does not replace a separate consent or authorisation that the law requires.

5. Customer Business Data

LaundryDesk allows subscribing businesses to maintain operational records relating to their own business activities.

The business that enters or uploads this information is responsible for determining that it has the necessary rights and permissions to do so.

We process such information to provide the requested Services, maintain and secure the platform, support authorised workflows and meet applicable legal obligations.

Authorised users associated with a business account may be able to access information according to their assigned permissions and the features enabled for that account.

If you are a customer of a laundry or dry-cleaning business that uses LaundryDesk, please direct requests concerning the business’s use of your information to that business in the first instance. You may also contact us where you believe your information has been handled improperly.

6. Payments and Billing

Subscription payments are processed through the payment methods and service providers made available during checkout.

Depending on the payment method, we may receive transaction references, payment status, amounts, invoice details and limited payment-related information.

We do not intentionally store complete payment card or banking credentials in LaundryDesk application databases. The exact information handled by the relevant payment provider is governed by that provider’s processes and applicable documentation.

Payment processing may be subject to the payment provider’s own terms and privacy policy.

7. Cookies and Similar Technologies

Our website and Services may use essential cookies or similar technologies to maintain sessions, support security, remember preferences and operate requested features.

Where analytics or other non-essential tracking technologies are used, the information collected will depend on the tools configured on the relevant website or service.

You can manage cookies through your browser settings. Blocking certain cookies may affect website functionality.

Where consent is required for a particular technology, we will use an appropriate consent mechanism.

8. Sharing and Disclosure of Information

We do not sell personal information as a business practice.

We may share information, where necessary and lawful, with:

  • Hosting, infrastructure and storage providers.
  • Payment processors and transaction service providers.
  • Email delivery and communication providers.
  • Security, monitoring and diagnostic service providers.
  • Professional advisers, auditors and legal representatives.
  • Government authorities, regulators or law-enforcement agencies where legally required.
  • Other parties where necessary to protect rights, investigate fraud or address a security incident.

Service providers receive information relevant to their functions and are subject to appropriate contractual, confidentiality or other legal obligations, where applicable.

Some providers may process information under their own legal responsibilities or terms. Their handling of information may therefore also be governed by their own privacy documentation.

We do not disclose personal information to unrelated third parties for their independent marketing merely because you use LaundryDesk.

9. Data Security

We take reasonable technical and organisational measures designed to protect information against unauthorised access, alteration, disclosure, loss and misuse.

Depending on the service and its configuration, these measures may include encrypted connections, access controls, authentication safeguards, restricted administrative access, monitoring and backups.

No internet-based service can guarantee absolute security. Users should maintain secure credentials, restrict account access to authorised personnel and promptly report suspected security incidents.

Where applicable law requires notification of a personal data breach, we will follow the relevant legal requirements.

10. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this policy, subject to applicable law and any contractual commitments.

For completed orders in LaundryDesk, our current operational retention targets are:

  • Business records: Order information, associated customer details and invoices are retained for up to two years after an order is completed.
  • Garment photographs: Photographs associated with completed orders are retained for up to six months after order completion.

These periods apply to the relevant operational records and photographs, not automatically to every category of information we hold.

Account, subscription, payment, security, support and legal records may be retained for different periods where necessary for account administration, accounting, fraud prevention, dispute resolution or legal compliance.

Information may remain in backup systems for a limited period after deletion from active systems, subject to the applicable backup and recovery processes.

Where a longer retention period is legally required or a record must be preserved for a legitimate legal purpose, we may retain the relevant information for that period.

We will handle retention and deletion requests in accordance with applicable law and the relevant service arrangements.

11. Your Privacy Rights and Requests

Depending on applicable law and the circumstances, you may be entitled to request access to, correction of, updating of or deletion of personal information, or to exercise other applicable rights.

If you are a LaundryDesk account holder, you may also need to contact your business’s account administrator to request changes to operational records.

Requests can be sent to support@laundrydesk.com.

Please identify the relevant account or interaction and describe your request. We may need to verify your identity or authority before acting.

We will respond within the timeframe required by applicable law. A request may be limited or declined where a lawful exception applies, including where information must be retained to meet legal obligations or establish, exercise or defend legal claims.

Where consent is the applicable basis for processing, you may withdraw that consent in accordance with applicable law. Withdrawal does not affect processing lawfully carried out before withdrawal.

12. Email Communications

We may send service-related communications concerning account access, security, subscriptions, payments, support and material service changes.

If we send optional marketing communications, you may opt out where an opt-out mechanism is provided. Opting out of marketing will not prevent us from sending essential service or transaction-related messages.

13. Children's Privacy

LaundryDesk is designed for use by businesses and their authorised adult representatives. It is not intended to be used independently by children.

If you believe that personal information has been submitted to LaundryDesk inappropriately, please contact us so that the matter can be reviewed in accordance with applicable law.

14. Third-Party Websites and Services

Our website or platform may contain links to third-party websites or services.

We do not control the privacy practices of independent third parties. You should review their privacy policies before providing information directly to them.

15. Changes to This Privacy Policy

We may update this policy to reflect changes to our Services, data practices or applicable law.

The updated policy will be published on this page with a revised “Last updated” date.

Where a material change requires notice or consent under applicable law or a contractual arrangement, we will take the steps required before applying that change.

16. Contact and Privacy Complaints

For questions, requests or concerns about privacy and personal information, contact:

Email: support@laundrydesk.com

Please include sufficient information for us to understand your request, but do not send passwords or complete payment card details.

Where applicable law requires a designated privacy contact, Data Protection Officer or grievance officer, the relevant contact details will be provided as required.
